HEALTH DEPT INSPECTIONS

All vendors MUST be ready for a Health Dept Inspection by 2pm Friday 19th September.  You will NOT be permitted to open without sign off from the Tulsa Health Dept.

TAXES

Sales Tax Forms are to be provided to ScotFest as part of the application package and it is your responsibility to collect and pay Oklahoma State and local Sales and Use Tax on the last day of the event prior to leaving. If payment is to be made online, the Sales Tax Forms provided MUST be completed and returned to Scotfest on the park.For further information, refer to Oklahoma’s Tax Commissions website at http://www.tax.ok.gov.

ADDITIONAL EVENT INFORMATION

• Scotfest are no longer coordinating 3rd party tent rentals for vendors. You may reach out and organize your own rental agreement with the tent supplier.
• Scotfest preferred tent vendor: A&J Tent Rentals: Muskogee, OK
• Temporary staff will not be supplied by Scotfest as our staff are volunteers for the event. If you need temporary staff please contact the local labor finder companies who may be able to assist.
• There will be no vehicular access to the park during opening hours per the Broken Arrow Police Department. We have arranged access for Vendors during set-up and shut down only.
• Staying/camping in the park overnight is not permitted
• We will have security overnight through the course of the event, beginning Wednesday night.

SAFETY AND SITE RULES/POLICIES

• No illegal substances, drugs, drug paraphernalia or outside alcohol beverages are permitted.
• After 8:30 AM, Saturday morning, NO vehicles other than permitted carts are allowed on the field for any reason.
• All entrants to the Festival site must possess proper admission ticket or be escorted to the gate to purchase one.
• All tents MUST meet with the Fire Marshalls requirements.

HOLD HARMLESS AGREEMENT

The Individual/Organization named in this form hereby agrees for itself, its successors and assignees, to indemnify and hold harmless the SCOTFEST, Inc and/or the City of Broken Arrow, and Tulsa County from all claims, lawsuits or any other action for personal injuries, including death, and damages to property, real or personal, caused by your individual/organization, and/or acts or omissions of SCOTFEST, Inc and/or City of Broken Arrow, arising out of your individual/organization's involvement in SCOTFEST, and from all judgments and costs incurred in relation to said claims and lawsuits, and from all expenses incurred in defending said claims or lawsuits. The individual/organization named herein, including any successors, heirs and/or assigns hereby releases SCOTFEST, Inc and/or City of Broken Arrow, Tulsa County and all Sponsors and Officials, including their agents and employees, from liability, from any claim it might otherwise have for participating in SCOTFEST, including, but not limited to, any claim for personal injury or physical impairment or other claim of any type, arising out of participation or involvement in this event. The individual/organization named herein also agrees to indemnify and hold harmless those released above from any such claims, damages, losses and expenses, including attorney's fees and all court costs.

PUBLICITY RELEASE

The undersigned hereby gives consent to SCOTFEST and assignees to take photographs, make audio recordings/and or video graphs of myself and/or my organization at SCOTFEST and to use such photographs and/or video graphs for such promotion, publicity and other lawful purposes as SCOTFEST deems appropriate. I/we further waive any rights or claims as to content approval or damages that I/we may have for those reproductions.
